How to Merge PDF Files: A Complete Guide for Windows, Mac and Phone

By the PDFToolkitX team · Published October 25, 2026 · 7 min read

Merging PDFs is one of the most common document tasks there is. Job applications, visa files, school assignments and expense reports all tend to ask for "a single PDF". Yet the files you have are usually spread across several documents: a scanned ID, a CV exported from Word, a certificate downloaded from a website.

This guide explains the main ways to combine PDF files, what each one is good for, and the small details that make the difference between a tidy document and one that gets sent back.

Option 1: Merge in your browser

A browser-based merger works the same on Windows, Mac, Linux, Chromebooks and phones, and there is nothing to install. Our Merge PDF tool does all the work inside your browser, so the files never leave your device. That matters when the documents contain personal information such as passport scans or bank statements.

  1. Open the Merge PDF page and click Choose PDF files, or drag the files onto the box.
  2. Put the files in the right order. The first file in the list becomes the first pages of the result.
  3. Click Merge PDFs and save the file.

The pages are copied as they are, without being turned into images, so text stays sharp and searchable.

Option 2: Preview on a Mac

macOS includes a capable PDF editor called Preview. To merge with it:

  1. Open the first PDF in Preview.
  2. Choose View → Thumbnails to show the page sidebar.
  3. Drag the other PDF files from Finder into the sidebar, at the position where they should appear.
  4. Choose File → Export as PDF to save a new combined file.

It works well, but it is easy to accidentally modify the original first file if you use Save instead of Export. Work on copies if you are unsure.

Option 3: Windows

Windows does not include a dedicated tool for combining existing PDFs. The "Microsoft Print to PDF" printer can create a PDF from a single document, but it cannot join several PDF files together. Most Windows users therefore use a browser tool or install a PDF program. If your documents are still in Word format, another option is to copy them into one Word document and export that as a PDF once.

Option 4: On a phone

On iPhone, the Files app can combine documents: select the files, tap the three-dot menu and choose Create PDF. On Android, the options depend on the manufacturer, so a browser tool is often the simplest route. Our merger works in mobile Chrome and Safari; use the arrow buttons to reorder files, because dragging is fiddly on a small screen.

Get the order right before you merge

Most "the merged PDF is wrong" problems are order problems. A simple trick prevents them: rename the files with numbers at the start before merging.

Instead ofRename to
scan_2026_10_02.pdf01-passport.pdf
CV final FINAL.pdf02-cv.pdf
diploma.pdf03-diploma.pdf

Most file pickers sort by name, so the files arrive in the correct order automatically.

Fix rotation and remove extra pages first

Merging does not change how pages look. A sideways scan stays sideways, and a blank back side of a scanned page stays in the document. Do the cleanup before merging, because it is easier to fix small files than one large combined file:

  • Use Rotate PDF to turn sideways pages.
  • Use Split PDF in "extract pages" mode to keep only the pages you need.

What to check after merging

  1. Page count. Add up the pages of the original files. The total should match.
  2. Order. Scroll through quickly and confirm each section begins where you expect.
  3. File size. Many upload forms limit files to 2, 5 or 10 MB. If yours is too big, see how to make a PDF smaller.
  4. File name. Rename "merged.pdf" to something clear, such as Lastname-Firstname-Application.pdf. It helps the person who receives it.

Common problems and how to solve them

"This file is password protected"

Encrypted PDFs cannot be merged until the protection is removed. If you created the file, open it in the original program and save a copy without a password. If someone sent it to you, ask them for an unprotected version.

Pages have different sizes

Merging an A4 document with a US Letter document gives a file with both page sizes. Readers display it fine and most printers adjust automatically. If you need identical sizes, the source documents need to be exported at the same size.

Links inside the document stopped working

Links to websites are usually kept, but a table of contents with links that jump to other pages may no longer point to the right place once pages move. If the document needs a clickable table of contents, create it in the original program after combining the content there.

Summary

For most people, the fastest path is: rename files with numbers, fix any rotation, merge in the browser, then check the page count and size. It takes a couple of minutes and gives you one clean PDF that is easy to send and easy to read.
