How to Prepare Documents for Online Applications (Visa, Jobs, University)

By the PDFToolkitX team · Published October 25, 2026 · 8 min read

Online application portals for visas, universities, scholarships and jobs have one thing in common: strict rules about files. A portal may accept only PDF, limit each file to 2 MB, or ask for all supporting documents in a single upload. Getting this wrong can mean a rejected upload at the last minute, or worse, an application that looks unprofessional.

This guide walks through a reliable process for preparing your documents, from paper or phone photo to an upload-ready PDF.

Step 1: Read the requirements carefully

Before touching any file, write down what the portal asks for. Typical requirements include:

  • Accepted formats — often PDF only, sometimes JPG for photos.
  • Maximum file size — common limits are 1, 2, 5 or 10 MB per file.
  • Number of files — one file per document, or everything combined.
  • Color or black and white — some authorities require color scans of IDs.
  • Naming rules — some systems ask for names such as LASTNAME_Passport.pdf.

Requirements differ between institutions and change over time, so always follow the official instructions of the portal you are using.

Step 2: Get good scans or photos

A flatbed scanner gives the best results, but a phone camera is fine if you take care:

  • Place the document on a dark, plain surface in daylight or bright, even light.
  • Hold the phone directly above the page, parallel to it, to avoid a slanted shape.
  • Make sure all four corners are visible and nothing is cut off.
  • Avoid flash, which often creates a bright glare spot on glossy paper or ID cards.

Many phones include a document scanner: in the iPhone Notes app, or Google Drive's scan feature on Android. These crop and straighten the page automatically. Our guide on scanning with your phone goes into more detail.

Step 3: Convert photos to PDF

If you have JPG or PNG photos, convert them with Image to PDF. Choose A4 as the page size for documents that will be printed by the receiving office. For a two-sided ID card, add the front and back photos and they will become two pages of one PDF.

Step 4: Combine when asked

If the portal wants one file containing several documents, use Merge PDF. Follow the order given in the official checklist. If there is no checklist, a logical order is: identity documents, then forms, then supporting evidence (diplomas, letters, statements).

Step 5: Check the size

Scans and phone photos are the main reason PDFs get too big. A single photo from a recent phone can be 3–6 MB. Some ways to reduce size:

  • Scan at 150–200 DPI instead of 600 DPI. That is enough for readable documents.
  • Use grayscale for documents that do not need color.
  • Resize large photos before converting them to PDF.

Step 6: Name files clearly

Use clear names without special characters. Many systems struggle with spaces, accents or symbols. A safe pattern is Lastname_Firstname_DocumentType.pdf, for example Alami_Sara_Diploma.pdf.

A final checklist before uploading

CheckWhy it matters
Every page is readable when zoomed inBlurry stamps or numbers can lead to rejection
Pages are the right way upUse Rotate PDF if not
No blank or duplicate pagesRemove them with Split PDF
File size is under the limitUploads often fail silently when too large
Correct document in each upload slotMix-ups are a common reason for delays
Expiry dates are still validExpired documents are usually refused

Keep your documents private

Identity documents are valuable to fraudsters. Be careful where you upload them. Prefer tools that process files on your device, like the ones on this site, over services that upload documents to unknown servers. Delete copies you no longer need from shared computers, and avoid sending ID scans over public Wi-Fi without a secure connection.

Summary

Good preparation saves time and stress: read the rules, capture clean images, convert to PDF, combine only when asked, keep files small and well named, and check everything once before you click submit.
