How to Copy Text From a PDF for Free (Including Long Documents)
Copying a sentence from a PDF is easy. Copying a whole document, page by page, is tedious, and line breaks and page headers often get in the way. Here is how to extract all the text from a PDF at once, and how to deal with documents that resist.
Extract all the text at once
- Open PDF to Text.
- Choose your PDF. The text appears in the box, page by page, separated by "--- Page N ---" markers.
- Click Copy text to copy everything, or Download .txt to save a text file.
The extraction happens in your browser, so even confidential documents stay on your device.
Cleaning up the result
Extracted text is plain text without formatting. A few clean-up tips:
- Page markers: use your text editor's Find and Replace to remove them if you do not need them.
- Headers and footers: repeated titles or page numbers appear on every page; remove them the same way.
- Broken lines: PDFs store line breaks where the text wrapped on the page. To turn lines back into paragraphs, paste into a word processor and join lines, or use an editor's replace feature.
When nothing is extracted
If the tool reports that very little text was found, the PDF is probably a scanned image. Scans contain pictures of letters, not text. You need OCR (optical character recognition) to convert them. Many scanner apps, phone camera apps and office programs offer OCR. For best OCR results, use a sharp, straight scan; converting the pages to images at 300 DPI with PDF to Image can help when your OCR tool only accepts images.
When the text is in the wrong order
PDFs store text in the order it was drawn, not always the order it is read. Two-column layouts, sidebars and tables are the usual causes. Copy one column or section at a time if the order matters, or reorganize the text after extraction.
When the text comes out as strange symbols
Some PDFs use fonts that do not record which letter each shape represents. The page looks right but copies as gibberish. Ask for a new export of the document if possible, or use OCR as for a scan. More details in why you can't copy text from some PDFs.
Respect copy restrictions
Some PDFs are set by their authors to discourage copying. If a document is protected, ask the author for permission or an editable version.
Common uses
- Quoting from a report or research paper.
- Reusing text from an old document when the original file is lost.
- Searching a long document with your own tools.
- Pasting content into a translation tool.
Summary
For text-based PDFs, extraction takes one click. Scans need OCR, scrambled order needs a little tidying, and gibberish usually means the document should be exported again or treated as a scan.
